Role description and task arrangements

Coordinating executive assistant

This is us
The Interprovincial Consultation (IPO) and BIJ12 together form the Association IPO. This is the place where provinces work together on major national themes. Think of nature, wildlife management, nitrogen, agriculture, climate, accessibility and energy transition. We do this with expertise, a feeling for politics and, yes, a love of content.

About the team
You will be part of the Operations Department, where you will be part of the team of management support staff. In this team you will fulfill a coordinating role.

What you will do
As a coordinating executive assistant, you will support one or more board members and ensure that everything runs smoothly, even during hectic times. You manage complex agendas and make sure they are smartly planned. You will also manage administrative documents and decision-making processes. You prepare for board and management meetings, constantly keep an overview and always know what is going on. You work at the highest administrative level with ministries, provinces and umbrella organizations.

Always looking to improve the way we work. Do you see that something could be smarter or more efficient? Then you come up with a proposal. You work on standardizing processes, ensuring the quality of our support and making sure we are ready for the future.

In addition to this support, you have another important and beautiful role: you are the liaison within the management support team. You help set up the team and its coordination. You coordinate work processes, share your knowledge and experience, and ensure clear working agreements. You keep the overview and make sure everyone knows where they stand. If anyone in the team has questions, you are the point of contact. And of course you organize the recurring team moments. You just take care of it.

This is what you bring
Naturally, you are reliable and have integrity. You are an expert in organizing and planning and can keep several balls in the air. You actively seek cooperation and are a real connector. Thanks to your open and approachable attitude, colleagues find you easily. You like to think in terms of possibilities and take action.
Furthermore, you have/are:
  • A completed and relevant education at at least MBO+ level.
  • Minimum 5 years of experience in a secretarial position.
  • Excellent knowledge of Microsoft Office (Outlook, Word and Excel).
  • Good communication skills, both oral and written.

Number of hours per week: 32 to 36 hours
Renewal options: 2 x 6 months

Renewal is on otherwise unchanged contractual terms (including the hourly rate).

Given the work and scaling, it is not possible for self-employed individuals to subscribe to this call for proposals.
