Role description and task arrangements

The Administrative Assistant will be working on the Facilities team at 's Heeren Loo Steunpunt Middelburg.

The Facilities Department is responsible for the management and maintenance of buildings and grounds, organizing facility services such as laundry, waste disposal, cleaning, pest control, and supplying office supplies.

The team consists of 4 coordinators, 1 workplace manager, 1 technical staff member, and 1 administrative staff member. It is supplemented by several temporary staff members who provide support in various areas.

Work includes:

  • Processing incoming reports/incidents via the FMIS system (Planon).
    This involves acknowledging receipt of the report, contacting the reporter if the information is unclear or incomplete, and, for recurring and simple reports, issuing a work order to a supplier. Contacting suppliers regarding issued work orders and contacting residents regarding the arrival of suppliers.
    If the report is more specialized, it is forwarded to one of the Coordinators.
     
  • Reserve meeting rooms
  • Order office supplies through the ordering system
  • Facilities hotline
  • Maintain and forward the facilities mailbox
  • Create key tags

Currently, our office offers a day program for clients. They handle the dishes, refill the coffee machine, and greet visitors. Effective August 10, the Regional Office will move to Oostperkweg 43 in Middelburg. As of that date, the day program will no longer be offered. The plan is to transfer these tasks to the Facilities Department.

This still needs to be worked out, which is why we are hiring a temporary employee.
