Job Content
The UMCU is on the verge of a major renovation project. The Facilities Department plays a key role in this. As a project secretary, you will bring structure to the program, prepare for decision-making, think ahead, and motivate the right people to deliver results. You support project leaders with planning, communication, and report preparation. In doing so, you make a direct contribution to a safe, welcoming, and efficient work environment and to the quality of our facilities services.

Your responsibilities will include:
  • Drafting project plans and organizing meetings and gatherings.
  • Providing support in setting up project teams.
  • Preparing management reports and handling project administration.
  • Verify that phase documents are completed on time and accurately.
  • Developing support tools such as templates for time and budget management.
  • Help develop and implement communication plans.

Department
You will be working in the Development & Consulting department of the Facilities Management Division. You will be part of a team of other professionals specializing in facilities consulting and concept development, as well as functional managers. Drawing on its areas of expertise and working closely with the business units, the department actively contributes to the smooth operation of the Facilities Management Division as a whole.

The Facilities Department provides a wide range of facility services, including the development and maintenance of medical equipment, patient nutrition and dining services, cleaning, reception and security, logistics, as well as the management and maintenance of buildings and systems, and radiation protection. This variety makes for an engaging work environment with a diverse range of operational challenges.

Profile

You work in a project-based, structured manner, communicate clearly, and have a good sense of the dynamics within a large organization. In addition, you possess:
  • A college-level education, preferably with a degree in project management, secretarial studies, or executive assistance.
  • At least 4 years of experience supporting project management.
  • Knowledge of project procedures and document management.
  • Accuracy and sensitivity regarding confidential information.
  • A service-oriented and ethical work ethic.
  • Experience and an affinity for the facilities and housing sector.
