As a Project Support Specialist, you’ll be the connecting link behind the scenes—you’ll maintain an overview, monitor agreements, and ensure that project leaders and project teams can move forward well-prepared. With your attention to detail and proactive approach, you’ll help projects run smoothly and on schedule.Your Role
As a Project Support Specialist, you ensure that projects run in a structured and efficient manner. You provide administrative, organizational, and process-related support to project leaders and project teams. You monitor progress, deadlines, tasks, and documentation, and raise the alarm in a timely manner if anything threatens to get bogged down. You report directly to the Project Portfolio Coordinator.This is what you will do
- You’ll support project leaders in implementing project plans and serve as a hands-on sounding board.
- You monitor progress, tasks, deadlines, and deliverables, and proactively follow up with colleagues on outstanding tasks.
- You will manage project administration, action lists, and decisions, and ensure proper documentation, archiving, and version control in Microsoft Teams and SharePoint.
- You plan and organize project meetings and gatherings, including PSUs, PFUs, risk sessions, and evaluations.
- You will assist in preparing and updating project schedules and non-financial progress reports.
- Using Copilot, you will prepare reports and to-do lists and carefully review them for accuracy and completeness.
- You will handle communication with project teams and stakeholders and ensure that information reaches the right people in a timely manner.
- You will monitor compliance with internal processes, identify deviations, and discuss them with the project manager.

- Basic knowledge of project-based work.
- Experience with digital work environments, such as Microsoft Teams and SharePoint.
