Senior Management Assistant

The position of Management Assistant is part of the Operational Support & Advisory Staff job series. You will often work in dynamic and diverse situations that require effective action, maintaining an overview, and coordinating with stakeholders. It is a central role involving coordination, exchanging information with numerous internal and external contacts, and ensuring alignment.

The Management Assistant is responsible for supporting (project) management and stakeholders. This involves assisting with the implementation of (project) activities and/or departmental/team objectives. This support involves coordinating and/or carrying out (or arranging for the execution of) administrative, organizational, and/or subject-matter-specific tasks. In addition, the Management Assistant ensures that the intended quality standards are met and that agreements, guidelines, laws, and regulations are followed, as well as providing information and/or advice.

A senior specialist and coordinating support staff member bears (joint or delegated) responsibility for supporting processes, outcomes, and projects. They provide operational and/or functional guidance to those involved and/or perform specialized, varied tasks. They interpret and/or analyze situations, data, or operational issues.

a. There is effective and pleasant collaboration with internal and external parties.

3. Processing and making information available
a. Correspondence, reports, and/or records are prepared correctly and in a timely manner.
b. Relevant information is processed and shared with stakeholders in a timely manner.
4. Management/optimization of focus area
a. Knowledge of the field and relevant developments is up to date and shared with stakeholders.
b. A contribution has been made to the optimization of the focus area.
5. Coordination
a. Activities and work processes are planned, distributed, and executed in a feasible and efficient manner. Intended results have been achieved.
b. Employees have received optimal guidance and (professional) support.
c. The manager has been supported in managing the team/department in accordance with agreements.

Difficulty of the work:
- Activities/processes/projects to be managed are homogeneous in nature.
- Helps shape, prepare, plan, and coordinate (project) activities based on specialized professional knowledge, personal insight, and general guidelines, procedures, and planning.
- Prepares customized correspondence, analyses, and overviews.
- Regularly encounters unusual situations for which solutions must be provided.

Knowledge, skills, and experience:
- Minimum MBO+ level of work and thinking.
- Experience in a large professional work environment; 
- Makes proactive and effective contributions to optimizing work processes and oversees their implementation.
- Fluent command of the Dutch language, both spoken and written;
- Good knowledge of Outlook (required) and Office suites;
- Strong communication skills and decisive. You must be able to adapt quickly and juggle multiple tasks simultaneously.
