Assignment Description - Interface Manager
Role: Interface Manager, Program Organization Transformation UMC Utrecht
Target
Provide services to support the transformation task of the UMC Utrecht in the role of interface manager, focusing on a smooth transition from the current divisions/directions to Centers, Themes and Services, and the further setup on the interfaces between Centers, and from Centers with Themes and Services
Assignment (scope)
The Organizational Transformation program has several challenges at the interfaces between the letting and receiving organizational units, as well as between the new organizational units, especially between the Centers and from Centers with Themes and Services.
The interface manager provides work in the following areas, among others, with exact scope coordinated on a component-by-component basis:
1. Detailed structure current organization (down to lowest level).
o Co-inventory and analysis of "gray spots" in the current organization, e.g. (sub-)units, tasks, formation/FTE and powers
2. Governance & interfaces (between Centers, and with Themes and Services).
o Work out decision and consultation structure, mandates and ownership by interface.
o Design and documentation of interface agreements (RACI//SLA).
3. Processes: current (divisions) and new (of and between Centers, of Centers with Themes and Services)
o Inventory current primary and support processes within divisions
o Analyze the "gap" between the current and new primary and support processes, paying special attention to the interfaces, dependencies, transfer moments.
o Develop guidelines for process linkages, standard work instructions and minimum quality criteria.
4. Specific issues of employee placement, authorizations and financial embedding that require further analysis and direction
Positioning
In the PMO of the Formation Centers workstream (because of the largest shifts and interfaces); deployment can be cross-workstream if necessary.
Formal commissioning within the Organizational Transformation program by Anneke Holwerda workflow chair Formation Centers and Carol Lemmens CTO (Chief Transformation Officer).
Functional control
To the chair of the work stream Formation Centers
Collaboration
Close coordination with Workstream Chair Forming Centers, Transition Managers P&O/Department Finance/Department IT, Legal Affairs, Center/Theme quartermasters and Services Directors and program management and directors.
Deployment
- Duration: from mid-November to mid-May (initially 6 months); extension after evaluation and needs assessment.
- Time commitment: 3 days per week (24 hours p/w).
