Your role

As a functional administrator, you are responsible for managing the Aurora scheduling application and monitoring its functionalities. You act as a link between different departments and try to bring the operational and tactical levels closer together. How do you translate these tasks into practice and what does your job entail?

As a functional administrator, you focus on four areas of attention:

1. Set up the application functionally;

2. Manage the application functionally;

3. Support users;

4. Manage functional documentation.
 

1. Setting up the application functionally

You are responsible for the functional design of the application within an organization. You advise the owners on translating the organizational processes into the application.

2. Managing the application functionally

You maintain the layout and user functions of the application. Are there any changes in the way the organization works? If so, you implement these changes in the application.
As a functional administrator, it is important that you always know what is going on in the organization so that you can respond to changes and requests. How do you stay informed? Proactively identify requests: ask people what they want and need. In addition, you supervise implementations, test new functionalities, and ensure that the application continues to function properly after technical adjustments. You coordinate these changes in advance with all parties involved.

3. Supporting users

You support users in working with the application. For example, you provide training to new employees and supply manuals and workplace guidance. You also ensure that communication with users runs smoothly when changes are made to the application.

4. Manage functional documentation

In this role, you will develop and manage user documentation for both key users and end users, and assist with process documentation. This includes configuration documentation, user manuals, work instructions, and training documentation.

5. Duties & responsibilities

· You create users in the scheduling software

· You handle user questions, particularly from schedulers.

· You inform and advise users

· You are a discussion partner when it comes to adjusting the layout.

· You test functional changes

· You perform acceptance tests after technical changes or new releases.

· You manage user documentation and work instructions.

· You advise the responsible owner on improvements to the application.

· You communicate with the organization about updates and releases.

· Knowledge of and experience with Aurora scheduling software

· Experience working in the IT department of an art academy

· Communication skills, good verbal and written skills in both Dutch and English
